Finance Administrator
At Scintica we are committed to advancing science by bringing new and interesting products to preclinical labs and assisting scientists with implementing these technologies into their research protocols. Our products include imaging modalities such as ultrasound, PET/CT, MRI, bioluminescence/fluorescence, DEXA, photoacoustic, and intra-vital microscopy. We also offer physiological monitoring devices to measure blood flow velocity, tissue oxygenation, and microvascular function, as well as a selection of equipment and supplies for cellular and molecular biology.
The Finance Administrator is an office-based role in London, Ontario and is an important player on the Finance Team, ensuring the timely completion of clerical financial tasks, as well as office management and administration. This includes responsibility for accounts payable entry and employee expense administration, processing approved bank payments, office reception and administration, as well as serving as the Company’s Health and Safety representative.
The successful candidate will be a highly organized team player, with an attention to detail who thrives in a team environment. They will be comfortable with technology and adaptable to changing technologies, as well as have a sense of curiosity that makes them want to understand the “why”, not just the “what”.
As the Company grows, there may be opportunities to expand the scope of the role and related responsibilities.
Responsibilities for the position include, but are not limited to, the following:
Finance Related Tasks
- Enter vendor payable invoices, ensuring accuracy and timeliness
- Support customer order processing and reporting functions
- Administer employee expense platform and process expense reports expediently
- Enter approved weekly payments on banking platform(s) for review/approval by management
- Assist Senior Accountant with recurring journal entries
- Assist with balance sheet reconciliations
- Maintain various supporting schedules for financial reporting
- Assist Finance Team with various reporting and filing requirements
Office Management
- Answer incoming calls and maintain company VOIP phone system
- Monitor info@ email folder, ensuring redirection to appropriate staff member(s)
- Ensure office supplies adequately stocked
- Ensure staff are equipped with the right office equipment to work effectively (e.g. computer accessories, access keys, parking pass, etc.)
- Liaise with landlord on day-to-matters as needed
- Assist with various shipping-related tasks
- Retrieve mail and distribute accordingly
- Perform Health & Safety representative duties
- Provide administrative support to the Finance Team
Requirements:
The successful candidate will have:
- Demonstrated organizational skills, with an ability to multi-task effectively in a fast-paced environment
- Comfort using various technology platforms
- Familiarity with ERP and/or CRM systems
- Attention to detail
- Mathematically inclined and process oriented
- Customer service mindset
- Good judgment
- Prior experience in an administrative role is ideal but not required
